Filters


Your scheduler view can get REALLY busy. When you're booking 20 or 30 assignments a day, each day row can stretch to fill up more than one row of assignments, and this can begin to get hard to read after a point. That's why Staffpoint has intuitive filters that let you pare down the amount of info you're seeing into a manageable amount.


Show Cancelled

This is the simplest filter to understand. If it's checked (the default), then black 'cancelled' shift tags will be displayed in the scheduler.



If it's unchecked, then the black 'cancelled' shift tags will not be shown. This alone, depending on your scheduling style, can free up a lot of space to make things more readable.



Clients Filter

This filter allows you to hide any shift tags that are not of the selected Client or Client Location. In this example, we only want to see assignments for the Happy Living Society.




Personnel Filter

This filter allows you to hide any shift tags that are not of the selected Personnel member. In this example, we only want to see assignments that Chris Simpson is working.





Personnel Type Filter

This filter allows you to hide any shift tags that are not of the selected Personnel type. In this example, we only want to see assignments that are looking for an ENG - Engineer.




Status Filter

This filter allows you to hide any shift tags that are not of the selected Status. In this example, we only want to see assignments that Blue or 'Assigned'.





Qualification Filter

This filter allows you to hide any shift tags that do not contain the selected Qualification. In this example, we only want to see assignments that are looking for someone with the Qualification 'Diffusing Hostility'.




Search

The search allows you to enter arbitrary text, and it will filter based upon many types of info, including Assignment ID, Client name, Staff first name, Staff surname, and Assignment Details.




Shift Tag Operations

Right-clicking on a shift tag will allow you to take various shortcuts depending on its colour, or status.


With a Red or Open assignment, the shortcuts include viewing this assignment's details and cancelling the shift.


With a Yellow or Requested assignment, the shortcuts include viewing this assignment's details and cancelling the shift.


With a Light Blue or Reserved assignment, the shortcuts include viewing this assignment's details and cancelling the shift.


With a Blue or Confirmed assignment, the shortcuts include viewing this assignment's details, approving it (turning it Green, or Approved) and cancelling the shift.


With a Green or Approved assignment, the shortcuts include viewing this assignment's details.


Lastly, you can also view the dispatching status of a Red shift at a glance. If you see a telephone icon on the right side, that means that the system is calling people to assign. If you see a pause icon, that means that dispatching is on hold for this assignment, and no calls are currently being made.



Assignment Summary


The Assignment Summary screen is where much of the 'action' happens, and is where many controls are located. Each type of assignment status includes different controls, although some are common. Let's look at each part of this screen below.


A Red assignment includes many ways of interacting with information:


Below are the Details. Basically the who, what, and where of this assignment. Once created, these cannot be changed. Below them are the start and end times of this assignment. By clicking on the edit icon, a time/date picker will appear, where you can change the start, end, and/or duration of this assignment. Please keep in mind how this can affect other assignments that are adjacent to it - it may also change who is available to work.



At the bottom of this section is the Assignment Details link. Clicking on this will bring up a list of all of the custom fields assigned to, and filled out for, this assignment. 


If you click on the above button, this window will pop up to show you all of the details which may be defined for this assignment.



Assignment Qualifications 

Basically, these are the qualifications required for the assignment, and each one will be marked with either a red or green icon depending on if the personnel possesses that qualification. Anyone who does NOT hold all of the required qualifications will appear in the 'Not Qualified' tab on the right of the screen, and can be booked like normal, with the caveat that they may not be the optimal choice for the job.



Assignment Personnel Preview

This section shows, on an unconfirmed assignment, the person you’re considering or have reserved for it. Displayed is their name, Staff ID, clickable email address, and a summary of recent work hours. Clicking on their name in this section will take you to their Personnel Management screen, and you can clear them from the preview by clicking on the X in the upper right corner of this area.


Assignment Billing

The bottom-most section includes the billing area, where you manage billing for the assignment. You can add more billing types by clicking on the Plus icon, and can choose which billing type, other than the default, to assign.


Filling the 'Missed Break' checkbox will cause the system to reimburse this personnel for a break they didn't take, but is generally only useful for a blue or green Assignment, as you generally won't know a break has been missed until after the fact.


Lastly, you can edit the specific pay and bill rates if that functionality is enabled.



Assignment Notes

At the very bottom of the billing section is the Assignment Notes area. By clicking on the New Note icon, you can create and view notes for this assignment. Clicking on 'View All Assignment Notes' will show you a list of all of the notes (normally the Assignment summary will only show the newest three).
